How BuildFlo stores, accesses, and safeguards information in your workspace — including account data, chats, and uploaded project documents.

1. Overview

This Data Handling statement explains how BuildFlo stores, accesses, and safeguards information you provide when using the service.

It should be read alongside our Privacy Policy, Data Processing terms, and Terms and Conditions.

2. Categories of data we handle

Depending on how you use BuildFlo, we may handle:

  • Account and identity data (name, email, authentication credentials).
  • Workspace content (projects, chats, notes, preferences).
  • Uploaded files (PDFs, drawings, specifications, and related project documents).
  • Technical and security logs needed to operate and protect the service.

3. Storage and access

Account and workspace data are stored in cloud infrastructure operated under contractual controls with our hosting providers.

Access to production systems is limited to authorised personnel who need it to operate, support, or secure the service.

You remain responsible for only uploading content you are entitled to share and for minimising unnecessary personal data in project files.

4. Security measures

We apply technical and organisational measures appropriate to the nature of the service, including encrypted transport (TLS), access controls, and monitoring for abuse.

No system is perfectly secure. If you suspect unauthorised access to your account, contact us immediately and reset your credentials.

5. Retention and deletion

We retain workspace data while your account is active and as needed to provide the service.

You may delete content from your workspace or request account deletion. After deletion, residual copies may persist briefly in backups before being purged according to our retention cycles, except where law requires longer retention.
